Job Announcement : Facilities Assistant

WHAT YOU’LL DO:

The Facilities Assistant will assist the Facilities Specialist with the maintenance of the facility and trouble shoot general office equipment.  

OUR IDEAL CANDIDATE:

The ideal candidate should be proficient in a variety of disciplines including mechanical knowledge, office equipment uses and troubleshooting, safety knowledge, and the ability to work on numerous projects simultaneously. 

Ability to multitask and to complete assigned projects timely & efficiently.
Assist with assembling and moving office furniture.
Assist with ordering, tracking and inventory of fixed assets, equipment, and supplies.
Must have strong interpersonal and customer service skills.
Familiarity with and ability to use computers.
Exhibit polite and professional communication via phone, e-mail, and mail.
Ability to prioritize assigned tasks, manage time, meet deadlines, work well under pressure, and work well with other agencies and community partners.
Ability to lift 50 pounds, climb ladders, bend, and kneel while performing job duties.
Must be proactive, self-motivated, and have the ability to follow directions.

The Executive Assistant will aid SFCS Directors in scheduling and preparing meetings and appointments, maintain filles and calendars, prepare monthly board meeting packets, attend board meetings, and maintain recordkeeping/board communications.  They will prepare presentations and reports for projects, manage office documentation, as well as track and implement the Agency’s strategic plan.

OUR IDEAL CANDIDATE:

Our ideal candidate is proficient with a variety of responsibilities including Microsoft products, knowledge of online research, web analytics, database management experience, and drafting/editing correspondence.  They must be able to work on Agency events both on-and off-site.

Bachelor’s degree or 5 years experience as an Executive Assistant or similar position.
Strong interpersonal, customer service, and critical thinking skills.
Project management skills, ability to prioritize work independently and work well under pressure.
Ability to maintain confidentiality and exercise sound judgement.
Ability to interact with Agency leadership and staff in a professional manner.
Ability to attend educational/training seminars in various locations and run errands as needed.
Proven record of ability to multitask and to complete assigned projects timely, efficiently and independently.

The Clerical Assistant II – Front Desk is responsible for the professional representation of the agency to the community.  This person will greet and assist clients and visitors, direct them to the appropriate staff and information, process incoming and outgoing mail, as well as operate a multi-line phone system in a fast-paced office environment.

OUR IDEAL CANDIDATE:
Our ideal candidate has strong communication, organization, interpersonal, customer service and multi-tasking skills.  They must pay attention to detail while working in a fast-paced environment and have the ability to prioritize assigned tasks, work well under pressure, and with other community partners.

Two years’ experience as a receptionist using a multi-line phone system in a high-traffic reception area or equivalent training preferred.
Ability to use software including Microsoft Word, Excel, and Outlook.
Continually update the Staff Database/Datasheet using Microsoft Excel.
Assist the Operations Team as needed.
Ability to maintain confidentiality of information.
Ability to work effectively with others or independently.
Ability to accept supervision.
Ability to attend educational/training seminars in various locations.
High School graduate or equivalent.
